“Where is the …?”  “Remember that photo of the holiday party? What was the file name again, I can’t seem to find it anywhere?”  “We did this three years ago, let’s see if we can reuse the work plan. Where did you store it?”   “Are our documents secure?”  “Are our sharing and access policies to our documents reasonable and reviewed often enough?”  “What should be stored onsite and only once vs. what needs backup?” “We’ve got Google Drive and SmugMug and the RunMyVillage document library and files on individual desktops and OneDrive…no one can ever find anything.” “We just made a change to our logo, where do we find all of the documents with the old logo?”


Our November 15 User Talk will be another of our “Why We Do Things the Way We Do” sessions.   We will discuss different choices Villages have made to implement (or not implement) document management practices for document, photo, and image storage and retention; the technology they use (filing cabinets, cloud storage, RMV Document Library, etc.) and the processes they have developed. 


During this User Talk you should think about and discuss how your Village addresses these challenges:

 

  1. What types of documents do we have to manage? “Documents” can include paper, digital files, photos (print or digital), graphics and images, legal and financial records, member information and more.
  2. What level of security control do we need for each type of document—encryption, access/permission controls?
  3. How frequently do we access these documents? Where are they used? Are they used in collaboration environments?
  4. What are the backup, retention and access (view, edit, download) policies for each type of document?
  5. How should documents be named/labeled? How should versions be managed when collaborating and updating? What should the folder structure look like?
  6. How big must our document storage be?
  7. Given the above, what document storage tools should we use for each type of document (RMV Document Library, Dropbox/Google Drive, cloud storage solutions, etc.)? How do we integrate these?
  8. What are the best practices in using the RMV document library?
  9. What insurance coverage do we need, in the event documents are lost, damaged or inappropriately accessed? 

We use these Why We Do sessions to have attendees discuss how their Village implements RMV and other applications, how they operate given the choices that they have made, and what problems they have.  The previous Why We Do conversations (this is the fourth one) have been wide-ranging and illuminating with interesting “how to” and “why” ideas mixed with an occasional “I never thought about doing it that way!”

Our Why We Do sessions do not have presentations, just conversation among Village attendees.  This is a chance for people from Villages to explore choices and ideas that might be useful to their Village.  Please invite anyone from your Village who you think might be interested in this topic.

These monthly talks are designed to help Villages use RunMyVillage more effectively.  Each month has a different topic.  The intended audience always includes the technology community within your Village; in addition, others in the Village may be invited based on the planned topic.  Each of the User Talks has time for Villages to ask RunMyVillage-related questions to RMV and to other Villages. Examples of what we plan for these talks: RMV new release updates and discussions, results of surveys of desired enhancements to RMV, discussion of best practices and common issues particularly where Villages use RMV is different ways, and orientations for new Villages.   If you have ideas for topics, email us at RMVusers@vtvnetwork.org.  Videos for all previous User Talk webinars are on the VtV website.
